Position Summary: The Legal Secretary Needed For The Law Offices of Daniel J. Knight, PLC

San Luis Obispo, California is seeking a highly organized, detail-oriented, and professional Legal Secretary to join our team. This position plays a critical role in supporting attorneys and staff through effective calendar management, scheduling, client communication, and administrative support. The ideal candidate will possess exceptional organizational skills, strong communication abilities, and a commitment to maintaining accuracy and responsiveness in a fast-paced legal environment.

Essential Duties and Responsibilities

  • Maintain and manage attorney and firm calendars, ensuring all deadlines, court appearances, appointments, and meetings are accurately tracked and communicated.
  • Schedule, coordinate, and confirm court dates, depositions, client meetings, appointments, and other legal proceedings.
  • Answer incoming phone calls, emails, and other communications promptly and professionally.
  • Take accurate messages and notes and ensure timely follow-up with attorneys, staff, and clients.
  • Serve as a primary point of contact for clients, courts, opposing counsel, and other legal professionals, demonstrating a high level of responsiveness and professionalism.
  • Sort, organize, and prepare incoming and outgoing mail.
  • Scan, copy, file, and maintain physical and electronic documents.
  • Assist with document management and organization to ensure files remain accurate and up to date.
  • Communicate effectively with attorneys, paralegals, legal assistants, clients, court personnel, and vendors.
  • Support attorneys and staff with various administrative and clerical tasks as needed.
  • Perform miscellaneous office support duties to ensure the smooth operation of the Firm.

Qualifications/Preferred Skills

  • Prior experience in a legal secretary, legal assistant, administrative assistant, or similar role preferred.
  • Strong calendar management and scheduling experience required.
  • Written and verbal communication skills.
  • Attention to detail and organizational abilities.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office, email platforms, and document management systems.
  • Ability to work independently while also collaborating effectively with attorneys, manager and support staff.
  • Professional demeanor and commitment to client service.

Compensation is based on experience, but, ranges from $20-$28.50 per hour. Firm will consider part time for the right candidate, but fully time 30-40 hours per week is preferred. After probationary period certain paid holidays and paid time off can be negotiated.
